Havena is a home-based care coordination platform built and operated by Havena, LLC, a South Dakota company. Licensed home-care agencies use Havena to coordinate care; patients and their families use it to stay connected to that care. Havena is a technology platform — it is not a healthcare provider, and it never replaces your care team or emergency services.
Account information — your name, email, and sign-in details, created by your care team (there is no self-signup). Care and health information — what your care team, your family circle, and you enter as part of care: check-ins, notes, schedules, medications, health readings from connected devices, and messages. Records you authorize us to import — if you choose to connect a patient portal such as MyChart, we retrieve the information you authorize (such as medications, allergies, and health problems) and label it with its source. Technical basics — the ordinary logs any secure service keeps to run safely.
The public pages at havena.care include forms for asking us to contact you and for applying for service. Those forms collect what you type — your name, phone, email, town, state, and your words — so a real person can respond. Contact-form information can be removed on request: call 1-888-402-9110 or write hello@havena.care. Applications for service become part of our records and are kept under the retention rules below.
To provide the service: keeping your care team, your family circle, and you connected around your care. To keep the platform safe and improve it over time. That is the whole list. We do not sell your information. We do not share it for advertising. We do not let anyone advertise to you through Havena. We do not sell or distribute de-identified data to third parties.
Your care team at the licensed agency serving you — that is the point of the platform. People you or your family authorize — the family circle attached to your care, with the visibility your care team configures. Havena's own staff — a small number of platform personnel, for support and safe operation, under access controls, with meaningful actions recorded on a permanent audit record. Service partners, narrowly — when your care team sends a specific request to a partner (for example, asking a pharmacy to review a medication list), that partner sees only the request packet sent to them. Partners cannot browse records; the platform's security rules make that structurally impossible, not just against policy. Nobody else. We disclose information beyond this only if the law requires it.
Connecting a portal is always your choice, made with your own portal sign-in. We retrieve the information once per authorization, store it labeled with its source and who authorized it, and place it in your care record where your care team can review it. Imported records become part of your care record and are kept under the same rules as everything else in it.
Havena is built on a records principle we state plainly: fixable everywhere, erasable nowhere. Care records can be corrected at any time, and every correction preserves what was there before, who changed it, and when — that is how trustworthy medical records work, and healthcare record-retention laws require it. Because of this, records are retained indefinitely and users cannot delete them, including after an account closes. If something in your record is wrong, tell your care team — it will be corrected on the record, with the history preserved.
Your information is stored on servers in the United States, encrypted in transit and at rest, behind role-based access controls — each kind of seat (care team, family, patient, partner) can reach only what its role allows, enforced by database security rules. Meaningful actions land on a permanent, append-only audit record. Backups run nightly.
You can ask for a complete copy of the information in your care record — start with your care agency, or contact us below and we will help route the request. You can correct anything through your care team. If you connected a portal, you can decline to connect again at any time; information already imported remains part of the care record under the retention rules above.
The licensed agencies that care for you are healthcare providers covered by HIPAA. Havena serves those agencies as their technology platform under written agreements, and protects health information with the safeguards described here regardless of how it arrives — entered by a care team, sent by a device, or imported at your direction.
Havena accounts are for people 13 and older, confirmed at first sign-in. Younger family members participate through a parent or guardian's account — there are no child logins or profiles.
Havena is growing, and this policy is reviewed and updated as the platform grows. Material changes are posted on this page with a new effective date. The current version is always at havena.care/privacy.
